You just booked your dream venue, and you are thrilled. Even better, the contract says they provide an on-site "Venue Coordinator." This is a massive perk! But it often leaves couples wondering: If the venue has a coordinator, do I still need to hire my own wedding planner?

This is one of the most common questions we get, and the answer is: It depends entirely on the logistics of your specific day. To avoid any stressful surprises on your wedding morning, it helps to understand that venue coordinators and wedding planners are actually a complementary dream team. They do two completely different, equally important jobs. Here is the behind-the-scenes breakdown:

The Magic of the Venue Coordinator - Your venue coordinator is an absolute rockstar at making sure the property runs flawlessly. They are the experts on the space. Their main focus is ensuring the kitchen is on schedule, the food comes out hot, the floor plan is correct, and the venue's staff is operating smoothly. If the power goes out or the bar runs low on ice, they are the ones saving the day.

The Magic of the Wedding Planner - While the venue coordinator focuses on the building and the catering, a wedding planner focuses on you and your personal timeline. A planner is the one in your hotel suite at 9:00 AM making sure hair and makeup are running on time. We track the shuttle to make sure it's at the right entrance, ensure the groomsmen know how to pin their boutonnieres, and set up your highly customized personal details (like intricate seating charts, DIY favors, or memory tables) while you are busy taking photos.

So, Do You Actually Need an Outside Planner? You might NOT need an outside planner if:

  • Everything is in one place: You are getting ready, having the ceremony, and hosting the reception all on the exact same property.

  • You are keeping it simple: You are using the venue's in-house catering, standard linens, and don't have a massive list of DIY decor that needs to be assembled on-site.

You MIGHT want to hire a planner (or Day-Of Coordinator) if:

  • You have multiple locations: If you are getting ready at a hotel, having the ceremony at a church, and the reception at the venue, a planner is essential. A venue coordinator cannot leave their property to run your church rehearsal or manage your hotel departure.

  • You have a complex vendor team: If you are bringing in a lot of outside vendors (specialty lighting, live painters, photo booths, multiple florists), you need a point person to manage that traffic so your venue coordinator can focus on the food and the facility.

  • You have tons of "extras": If your vision involves a highly customized setup with lots of personal, delicate details that the venue staff isn't equipped to assemble.

  • You just want peace of mind: If you are prone to anxiety, having a professional to bounce ideas off of, double-check your math, or simply be an extra set of hands on the big day can be the difference between a stressful morning and a joyful one.

Ultimately, building your dream vendor team is about finding the right balance of support for your unique vision.
