How to Find Your Vendor Dream Team (And What to Actually Say to Them)

ing the actual people who are going to bring your wedding day to life. Finding vendors can feel incredibly stressful; you are trusting strangers with a massive amount of your money and the visual direction of one of your most important days. 


If looking at an endless sea of portfolios is starting to give you decision fatigue, you aren't alone. Here is The Wedding Haven's fluff-free strategy for searching smarter, the order you should book them in, and the exact email templates you need to start making connections today. 


Part 1: The Hunt (Where do I look?) Don't just blindly type "Boston wedding photographer" into Google. Narrow your search by using these strategic starting points: 

  1. Your Professional Planner (The Best Route): We have pre-vetted, trusted lists of vendors who are professional, creative, and match your budget. 

  2. Your Venue’s Recommendation List: Your venue coordinator wants your day to run smoothly, so they only recommend vendors they love working with. 

  3. Venue Instagram Tags: Go to your venue's official Instagram and check the "Tagged" photos. You will see photos from real weddings at that venue and can see exactly which vendors worked there and how they handled the specific lighting and layout of the space. 

  4. Network of Trusted Friends: Ask recently married friends who they absolutely loved and who they might have found difficult to work with. Genuine referrals are pure gold. 


Part 2: The Booking Order (Who to hire and when) You do not need to book everyone at once! In fact, trying to do so will lead to instant burnout. Here is the chronological order you should follow to build your team: 

  • Tier 1: The Foundation (12-18 months out): Wedding Planner, Venue, and Caterer (if your venue doesn't provide the food). These dictate your date, your location, and the bulk of your budget. You cannot book anyone else until these are locked in! 

  • Tier 2: The High-Demand Creatives (9-12 months out): Photographer, Videographer, and Band/DJ. These vendors are in high demand because they can generally only work one wedding per day. Snag your favorites early. 

  • Tier 3: The Design & Details (6-9 months out): Florist, Hair & Makeup Artists, Officiant, Specialty Rentals, and Baker. 

  • Tier 4: The "Extra" Magic (3-6 months out): Live painters, photo booths, espresso carts, cigar bars, or late-night food trucks. Our Wedding Haven Advice: These are incredibly fun additions, but they are absolutely not essential. Only book these if you have room left in the budget and they genuinely excite you! 


Part 3: The Pitch (What do I say?) This is where couples overthink it. Vendor inquiries do not have to be long, formal proposals! You are just checking availability and starting a conversation.

Part 4: The Vibe Check (The Right Questions to Ask) Once they confirm they are available, it's time to find the right fit. When you are interviewing them over the phone or video chat, look for these three crucial indicators: 


  • The Budget Transparency If they are hesitant to share a general breakdown of their packages or what standard couples spend after the initial inquiry call, that is a red flag. A true professional is transparent about their pricing structure. 

  • The Photographer Vibe Check This is non-negotiable. You are going to be hanging out with your photographer all day long. They will be there when you are getting ready, during your most emotional moments, and during the private photos. If your "vibes" don't mesh or their presence makes you nervous, that anxiety will show up in your photos. Prioritize personality as much as their portfolio! 

  • The DJ Involvement Level How involved do you want your DJ to be? Do you want a lively Emcee who gets the crowd motivated? Or do you want someone low-key who fades into the background and just lets the music do the work? Discussing this level of involvement early on ensures you have a dance floor that actually sounds and feels like you.

Repeat after us: You do not need to over-explain your decisions. If you inquire with seven photographers and five are available, you only need to interview your top two favorites. If the other three follow up with an email asking if you're still interested, a simple, one-sentence reply is all that's needed: "Thank you so much for your time, but we’ve decided to go in another direction!" You do not need to feel guilty, write a long apology, or manage their feelings. Send the quick reply, clear it from your inbox, and protect your peace!
